2. collection and storage of personal data as well as type and purpose and use thereof

In the course of personnel selection, Xient GmbH receives personal data from potential candidates in the following ways:

- Applicants submit their application documents via the career websites

- Applicants submit their application documents by e-mail

- Applicants submit their application documents by e-mail after being contacted by Xient GmbH within the framework of active sourcing

- The application documents are submitted by a personnel consultant

The purpose of data collection and processing in the context of personnel selection is:

- The acquisition of employees

- Filling vacancies

- Checking the suitability of candidates for the advertised position

- Making hiring decisions

The following categories of personal data are processed in the personnel selection process:

- Personal data (e.g. name)

- Contact details (e.g. address, telephone number, e-mail address)

- Data on education and vocational training (school education, final certificates, previous employers)

- Account details (IBAN, BIC) for the purpose of reimbursement of expenses incurred during an interview,

- a valid e-mail address,

- Address,

- Telephone number (landline and/or mobile),

- Candidate photo

The collection of this data takes place,

- to be able to identify you as our candidate/applicant;

- to be able to advise you appropriately;

- for correspondence with you;

- for the proficiency test

The data processing is carried out in response to your request and is necessary according to Art. 6 para. 1 p. 1 lit. b DSGVO for the aforementioned purposes for appropriate processing and mutual fulfillment in the context of personnel selection.

When applying via the Xient career website, applicants must register in the online application tool and set up a personal user account. This requires the provision of personal data such as name, contact details, as well as information on the date of birth and career history to carry out the registration process and to manage the individual user account. When registering, logging in and using the user account, the user's IP address of the user and the time of the respective use. A legitimate interest according to Art. 6 para. 1 lit. f EU DS-GVO arises for Xient GmbH for security reasons (e.g. protection against misuse, unauthorized use).

The personal data collected by us for personnel selection will be stored for 6 months and then deleted, unless we are obliged to store it for a longer period of time in accordance with Article 6 (1) sentence 1 lit. c DSGVO due to tax and commercial law storage and documentation obligations (from the and documentation obligations (from HGB, StGB or AO) or you have consented to further storage in accordance with Art. 6 para. 1 p. 1 lit. a DSGVO.

3. disclosure of data to third parties

A transfer of your personal data to third parties for purposes other than those listed below does not take place. Insofar as this is required in accordance with Art. 6 para. 1 p. 1 lit. b DSGVO for the processing under certain conditions with you your personal data will be passed on to third parties. This includes in particular the transfer to interested companies and projects. The data passed on may be used by the third party exclusively for the purposes the aforementioned purposes. In addition, Xient GmbH also uses external IT service providers.

General IT service providers: Xient GmbH uses external service providers who provide general IT services or IT systems that are used as part of general business operations. This includes, for example, the operation the system for internal and external (e-mail) communication.

4. data subject rights

Right to information: You can request information from Xient GmbH at any time about whether and what personal data is stored about you. The provision of information is free of charge. The right to information does not exist or is limited if and to the extent that the information would disclose information that is subject to secrecy, e.g. information that is subject to professional secrecy.

Right to rectification: If personal data stored by Xient GmbH is incorrect or incomplete, you have the right to request that Xient GmbH correct this data at any time.

Right to erasure: You have the right to request Xient GmbH to erase your personal data if and to the extent that the data is no longer needed for the purposes for which it was collected or, if the processing is is based on your consent, and you have revoked your consent. In this case, Xient GmbH must stop processing the personal data and remove it from its IT systems and databases. A right to deletion does not exist if the data may not be deleted due to a legal obligation or must be processed due to a legal obligation; the data processing is necessary for the assertion, exercise or defense of legal claims.

Right to restriction of processing: You have the right to request that Xient GmbH restrict the processing of your personal data.

Duration of data storage:

Application data with which candidates have applied for an advertised position will be deleted 6 months after completion of the application process. User accounts in the online application tool will be deleted upon deregistration by the by the candidate, at the written request of the candidate or after 12 months of inactivity. In individual cases, the legally prescribed retention period may be extended beyond this if, for example. the information is required for the assertion, exercise or defense of legal claims even after the retention period has expired.

5. right of objection

If your personal data is processed on the basis of legitimate interests pursuant to Art. 6 (1) p. 1 lit. f DSGVO, you have the right to object to the processing of your personal data pursuant to Art. 21 DSGVO. data, insofar as there are grounds for doing so that arise from your particular situation.
