Planning factory capacity is one of the most important tasks of managers. If more than one working day per week is lost for this very aspect, it is anything but conducive to productivity. Our customer, the subsidiary of a large industrial group, was faced with exactly this problem. Against this background, the customer approached us with a request to optimize personnel planning in a production factory. The engineering company operates its own large-part production facility for key components in the fields of heating, grinding and dosing technology. The production facility employs around 150 production staff. 

Every week, the factory manager organized the processes of his employees on the basis of the current order situation, the available personnel and the ongoing production processes - a thoroughly complex task, all the more so in a highly industrial environment. The tool used for this: various manually managed, elaborately enriched Excel lists. In practice, this meant a workload of a good ten hours per week for the factory manager. In addition, the process was error-prone and the data was sometimes not up-to-date. However, our Xient experts provided a remedy. Based on SAP Business Warehouse, the business intelligence solution from SAP, we finally developed a fully automated solution. This enables the company to plan and control the factory employees much more efficiently.  

From Excel list to real-time report 

Engineers and process experts from Xient GmbH first analyzed the previous manual reporting system within the factory. Our high level of expertise in industrial manufacturing and the associated requirements were essential in this process. Based on this business analysis, we developed a modern SAP Analytics solution and KPI visualization. This lifted the production factory's workforce planning to a new level. The Excel list was replaced by a fully automated reporting system. Thanks to the optimized SAP end-to-end solution, all factors that were previously recorded manually are not only automatically incorporated into the planning process, but the data is also available in real time - including precalculated KPIs, extensive filtering options and consideration of the required granularity.  

The complete design and implementation of the modern solution was carried out in close coordination between the Xient architects and the company. In combination with employee workshops and the live connection we supervised, the transition to the SAP-based reporting system went smoothly. The result is a massive increase in the efficiency of employee planning in the production plant. Not only does the Xient solution save management personnel a good ten working hours per week, but the optimized processes are also significantly less prone to errors. The highly efficient workforce planning thus created is the basis for a productive working environment.
